Program Manager Job Description

Job Title: Program Manager – Full-Time (40 hours/week)

Reports to: Program Director/Executive Director

Compensation: $35,000/year plus health

Position 
Reporting to the Program Director and Executive Director, the Manager will be responsible for expanding our programmatic footprint. As the third staff member, the Manager will have the opportunity to take a leadership role within a growing organization.

Primary Responsibilities 

Program Administration

  • Volunteer Recruitment:
    • Hold orientation sessions
    • Assist with vetting/approval of prospective volunteers
  • Client Sourcing
    • Assist Program Director in identification of new partner organizations and assist in presentation of services
    • Conduct phone and in-person intakes with newly referred clients
  • Service Coordination
    • Orchestrate logistics of matching for our programs, follow up with clients/volunteers regularly
    • Develop and implement procurement/delivery systems for Pet Pantry
    • Data entry, including updating/maintaining database and calendars
    • Oversee day-to-day administration of programs to ensure effective delivery of services to program constituents within the guidelines, policies, and mission of the organization

Program Evaluation & Reporting

  • In consultation with program staff, administer client evaluation to assess impact of programs and ensure accordance with organization’s mission

Secondary Responsibilities 

  • Assist with other areas of need, including but not limited to, administration, fundraising, and event planning

Qualifications 

  • BA required; MSW preferred
  •   1+ years experience in program management and/or volunteer management
  • Demonstrated excellence in organizational, managerial, problem solving and communication skills
  • Proficiency in Spanish preferred
  • Must be a team player and willing to assist in other areas as needed
  • Must be highly organized, friendly, detail-oriented, and have ability to function independently
  • Must have experience with animals and interest in working with seniors and other marginalized populations.

Position

Reporting to the Program Director and Executive Director, the Assistant will provide support that is vital to the expansion of our programmatic footprint. This position is made possible thanks to a generous grant from The American Society for the Prevention of Cruelty to Animals (ASPCA).

Primary Responsibilities

Program Administration

  • Volunteers
    • Vet/approve prospective volunteers, including conducting background checks and checking references
    • Prepare documentation for volunteer orientation sessions
    • Conduct volunteer check-ins
    • Assist program staff in other tasks as needed
  • Clients
    • Assist program staff with client sourcing/onboarding
    • Assist program staff in other tasks as needed
  • Service Coordination
    • Assist with volunteer/client matching
    • Maintain/update database, calendars and schedules
    • Assist program staff in other tasks as needed

Program Evaluation

  • In consultation with program staff, administer client evaluation to assess impact of programs and ensure accordance with organization’s mission
  • Conduct and track monthly check-ins with clients and volunteers to ensure highest level of service

Secondary Responsibilities

  • Assist Executive Director and Board with annual fundraiser, including securing silent auction items, updating event website, providing on-site assistance during the event, and more
  • Help manage PAWS NY social media sites, website, and other communication platforms
  • Assist with other areas of need, including but not limited to, administration and fundraising

Qualifications

  • BA required
  • Demonstrated excellence in organizational, problem solving and communication skills
  • Must be a team player and willing to assist in other areas as needed
  • Must be highly organized, friendly, detail-oriented, and have ability to function independently
  • Must be committed to the PAWS NY mission
